Course Booking Terms and Conditions
- Definitions
In these Terms and Conditions: • "The Deanwater Group", "we", "us" and "our" refer to The Deanwater Group. • "Learner", "you" and "your" refer to the individual attending the course. • "Client" refers to the individual, company, organisation or other entity making the booking. • "Course" refers to any training, assessment, qualification, workshop or educational programme provided by The Deanwater Group.
- Enquiries and Bookings
2.1. Course enquiries do not constitute a booking.
2.2. A booking is only confirmed when: • We have received a completed booking request; and • We have issued written confirmation of acceptance.
2.3. We reserve the right to refuse any booking at our discretion.
2.4. Places on courses are allocated subject to availability and compliance with any applicable entry requirements.
- Individual Bookings and Card Payments
3.1. Individuals booking and paying for a course directly must pay the full course fee at the time of booking unless otherwise agreed in writing.
3.2. Payments made by debit or credit card are processed securely through Stripe, our payment service provider.
3.3. A course place will not be guaranteed until payment has been successfully received and cleared.
3.4. Learners will not be permitted to attend a course if payment remains outstanding at the course start date.
- Organisation Bookings and Invoicing
4.1. Organisations may request payment by invoice, subject to approval by The Deanwater Group.
4.2. Unless otherwise agreed in writing, all invoiced course fees must be paid in full and cleared prior to the course commencement date.
4.3. Attendance on any course may be refused where payment has not been received by the due date.
4.4. Where prior written agreement has been made for alternative payment arrangements, the agreed payment terms will apply.
4.5. The Client remains responsible for payment of all fees irrespective of whether the Learner attends the course.
- Prices and VAT
5.1. All course fees are quoted in Pounds Sterling (£).
5.2. Prices are subject to change without notice, although confirmed bookings will be honoured at the agreed price.
5.3. VAT will be charged where applicable and shown separately on quotations and invoices.
- Cancellations by the Client
6.1. All cancellation requests must be submitted in writing via email.
6.2. Unless otherwise stated for a specific course:
• More than 14 calendar days before the course start date: Full refund or transfer to an alternative date. • 8 to 14 calendar days before the course start date: 50% of the course fee payable. • 7 calendar days or fewer before the course start date: 100% of the course fee payable.
6.3. Non-attendance, regardless of reason, will be treated as a late cancellation and no refund will be issued.
6.4. Substitute delegates may be accepted at our discretion provided any course entry requirements are met.
- Course Transfers
7.1. Requests to transfer to an alternative course date should be made in writing.
7.2. Transfers are subject to availability and may incur an administration fee.
7.3. A transfer request does not automatically guarantee a place on another course.
- Cancellation or Changes by The Deanwater Group
8.1. We reserve the right to cancel, postpone, reschedule or relocate a course where necessary.
8.2. In such circumstances, we will endeavour to provide reasonable notice and offer:
• An alternative course date; • A transfer to another suitable course; or • A full refund of fees paid.
8.3. Our liability shall be limited to the fees paid for the affected course.
8.4. We shall not be liable for any travel expenses, accommodation costs, loss of earnings or other consequential losses arising from course cancellation or rescheduling.
- Attendance and Conduct
9.1. Learners are expected to attend punctually and participate fully in the course.
9.2. We reserve the right to remove any Learner whose behaviour is disruptive, unsafe, abusive or inappropriate.
9.3. No refund will be provided where a Learner is removed due to misconduct.
- Certification
10.1. Certificates, qualifications or other evidence of achievement will only be issued where:
• All course requirements have been completed; • Assessment criteria have been met; • Awarding Body Certification process is complete and • All outstanding fees have been paid in full.
10.2. Any replacement certificates may be subject to an administration charge.
- Special Requirements
11.1. Learners should notify us of any accessibility requirements, learning support needs or relevant medical conditions as early as possible before the course start date.
11.2. We will make reasonable efforts to accommodate such requirements where practicable.
- Data Protection
12.1. Personal information will be processed in accordance with applicable UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
12.2. Information provided during booking may be used:
• To administer courses; • To communicate with Learners and Clients; • To fulfil awarding body requirements where applicable; and • To comply with legal obligations.

- Payment Security
13.1. Online card transactions are processed securely through Stripe.
13.2. The Deanwater Group does not store full payment card details on its systems.
13.3. Clients should refer to Stripe's terms and privacy policies for information regarding payment processing.
- Force Majeure
14.1. The Deanwater Group shall not be liable for any delay, cancellation or failure to perform its obligations where such delay or failure results from circumstances beyond our reasonable control, including but not limited to:
• Extreme weather; • Fire; • Flood; • Pandemic or epidemic; • Industrial disputes; • Government restrictions; • Utility failures; or • Acts of terrorism or war
- Governing Law
15.1. These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales.
15.2. Any disputes arising under these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.
